CicLAvia Volunteer Coordinator & Outreach Assistant

CicLAvia is seeking a Full-Time Volunteer Coordinator & Outreach Assistant to join our team. This position will work with the team year-round to execute several key aspects of CicLAvia events, including our volunteer program, community outreach, and event production.

CicLAvia is a 501(c)(3) non-profit that catalyzes vibrant public spaces, active transportation, and good health through car-free streets. CicLAvia engages with people to transform our relationship with our communities and with each other.

Are you someone with event production and/or volunteer program experience who is organized, outgoing, motivated and has a desire to learn? The ideal candidate has a passion for CicLAvia’s mission and is a self-starter, comfortable working in a fast-paced and dynamic environment. They are comfortable wearing many different hats and are extremely detail-oriented with strong communications skills, both verbal and written.

The Volunteer Coordinator & Outreach Assistant works as part of the Production Team to implement our volunteer program and assist with community outreach and event production. This role is a great opportunity for candidates with backgrounds/interest in urban planning, community organizing, volunteerism, and event production. CicLAvia is committed to supporting our staff in their personal and professional growth.

The Volunteer Coordinator & Outreach Assistant reports to the Chief Program Officer and the Production Manager, and is a key member of our team who assists in several aspects of CicLAvia events (including some evening and weekends when necessary), including:

  • Overseeing and implementing our event day volunteer program, including research and outreach to potential volunteer groups, updating volunteer documents, and all other logistics related to event day volunteers
  • Maintaining records of volunteer engagement, including tracking hours and demographic data
  • Managing inventory, organization, and packing of volunteer materials
  • Assisting in researching and developing Airtable databases of community stakeholders 
  • Supporting the Production Manager with community outreach efforts, including presenting at neighborhood council meetings, neighborhood canvassing, and tabling at community events
  • Following up with stakeholders via phone calls and email, and maintaining records of correspondence
  • Creating flyers for route stakeholders with alternate parking and detour information
  • Running errands, including drop-offs and pick-ups of event materials
  • Assisting the Event Producer and Production Manager with event packing and organization of event materials
  • Providing administrative support to the Chief Program Officer and Production Manager
  • Providing day-of-event support, including overseeing event set up, breakdown, volunteers, and other logistics
  • Performing office-related duties, including answering phones, returning calls, and mailing packages

Qualifications:

  • Commitment to the mission and work of CicLAvia
  • Strong desire to work as part of a fun, creative and entrepreneurial team in a fast-paced and dynamic environment
  • 1-2 years of experience working in event production and/or volunteer coordination at a non-profit organization
  • 1-2 years of experience working in an office environment
  • Must be comfortable driving a 9’ Cargo Van
  • Expertise in Microsoft Office (Word, Excel, PowerPoint) and proficiency with Mac computers
  • Knowledge of Airtable and Canva is a plus!
  • Works well with a team
  • Strong written and verbal communication
  • High energy, self-managing, and self-starter personality
  • Adept at managing multiple tasks with strong planning, prioritization and organizational skills
  • Spanish language fluency desirable
  • Valid California driver’s license and access to a vehicle for running errands, helping transport event supplies etc.
  • Available to work on some weekends and evenings

This is a full-time, non-exempt position with benefits:

  • Hourly rate: $22.00 - $24.00/hr. Full-time, non-exempt employee. 
  • Medical insurance - CicLAvia covers 100% of employee costs (Begins 60 days after your start date)
  • 8 paid Federal holidays
  • 6 paid days of sick time per calendar year (accrues monthly)
  • The CicLAvia team takes an end of year holiday between Christmas and New Year’s as quiet time (essential work only)
  • Two Weeks Paid Vacation (accrued monthly, can start using 90 days after start date)
  • Public transportation stipend $50 per month for those who utilize public transport
  • Monthly phone stipend (80% of your bill up to $80 per month)
  • Hybrid work schedule

CicLAvia Graphic Designer

CicLAvia is seeking a Full-Time Graphic Designer to join our team.

Are you passionate about visual identity, branding, and typography? Do you share our love of Los Angeles and the vibrant diversity of its neighborhoods and communities? CicLAvia uses our strong branding along with print and digital imagery to create connection, foster community, and inspire positive change, before, during and beyond our signature events. 

The ideal candidate will be a creative, self-motivated individual with a keen visual sense and passion for good design. They will have a passion for our mission and be an organized, self-starter comfortable working in a fast-paced, and dynamic office environment. Experience with nonprofit fundraising, community outreach, and social media communications is also a plus. This is a great opportunity for candidates with backgrounds/interest in curating community, event planning, cause marketing, and impactful design. The right person will strengthen the organization’s visual identity and communication channels. They will also grow CicLAvia’s capacity by working across teams with a keen eye for detail to provide the graphics and imagery needed to communicate with our diverse community about our events and other endeavors.                                               

Reporting to the Chief Impact Officer & Digital Communications Manager and working closely with the Production team, you will:         

  • Work across teams to develop high quality designs for event-related graphics/signage, promotional materials, outreach collateral, merchandise, web and social media assets, and fundraising campaigns.
  • Maintain and implement institutional style guide, copy edit and guarantee consistency and quality assurance across all graphic design files.
  • Lead and execute design projects from conception to print/publishing while managing brand consistency, including coordinating with outside vendors.
  • Translate organizational strategic objectives into design elements.
  • Generate new and original ideas within the parameters of stated objectives and existing brand guidelines.
  • Assist with additional projects and initiatives as needed. 

Qualifications:

  • Commitment to the mission and work of CicLAvia along with a strong desire and ability to work as part of a fun, creative and entrepreneurial team.                       
  • Min 3 years of experience working in graphic design along with strong brand management skills.
  • Strong proficiency with Mac computers, Google Suite, Adobe Creative Suite, Canva, and Mailchimp. 
  • Some CSS / HTML understanding and experience with various CMS is a plus.
  • Extensive experience in print and cross-platform digital content creation and understanding of the evolving media landscape.
  • Demonstrate excellent organizational skills with a keen eye for detail. Must have experience filing a large volume of collateral, while ensuring document version control.
  • Excellent communicator with strong copy editing skills.
  • Excellent organization and time management skills and adept at managing multiple tasks within a fast-paced, deadline-driven, dynamic environment.
  • Undergraduate degree in graphic design or equivalent is preferred
